Position Summary:  

The Order Management Team supports the processing of customer purchase orders from receipt to delivery. We ensure all aspects of the customer experience is timely, accurate and transparent. The tools we use are SAP, On-Line B2B tool, EDI and collaboration.

 

Supervisory Responsibilities:  None.

 

Job Responsibilities:

The Order Management Specialist will process customer orders in to SAP acting as the single point of contact for the customer and our internal teams. Order processing includes material availability, delivery, as well as the review of terms of sale to confirm HARMAN and our customer are aligned. Orders include, purchase orders, return authorization requests, and finance requested and approved transactions. In addition to manual system processing, the specialist will need to support our customers and sales team with our on-line order tool.

Essential Responsibilities:

  • Report Analysis
    • Open Order
    • Pricing
    • Allocations
    • Modifications
    • Invoicing
  • Customer Specific EDI transactions and corrections
  • Adherence to compliance cadences and processes.
    • Modifications
    • Order Releases
    • Data Integrity
  • Process customer purchase orders within 2 hours of receipt (RUSH 40minutes)
    • Communicate and resolve challenges through appropriate channels
    • Ensure accuracy of material, qty, pricing, shipping and terms of sale.
    • Ensure required approvals are provided.
    • Review inventory availability
      • Action Allocations
    • Communicate inclusion/exclusion issues to sales and CRM admin
    • Communicate credit hold/payment requirements to sales and credit department
    • Communicate DROP SHIP information/Expedited Orders to UPS
  • Process Return Authorization requests: 3hrs of receipt.
    • Issue return label or Arrange pickup with warehouse as needed
    • UPS/HD Tech/UR RA requests will take priority as return is in house awaiting processing.

Basic Qualifications:

Candidates must have the ability to prioritize and multi-task in a high energy environment. Ideal candidates will have a strong desire to learn and be comfortable collaborators. Strong written and verbal communication skills are a must.

  • Must have a high level of computer literacy
  • Must be proficient in Microsoft Excel and Outlook
    • Basic Formulas (Vlookup/Pivot tables)
  • Knowledge of SAP

  • Bachelors degree in business administration and/or experience in equivalent
  • Detail oriented, price, material, qty, value accuracy, exception identification.
  • Strong organizational and prioritization skills
  • Require excellent written and verbal communication skills

  • Willingness to work in an office in Northridge, CA
